The fulfilment coordinator is one of the most operational roles in an e-commerce business — and one of the most commonly mis-hired. Brands either write a job description that’s vague enough to attract the wrong candidates, or they write a warehouse worker JD when they need someone who can also manage supplier relationships and build processes. In our experience, clarity about the actual scope of the role — especially the split between physical fulfilment tasks and analytical/coordination work — determines whether you attract the right applicants.
What a Fulfillment Coordinator Does
A fulfilment coordinator is responsible for the day-to-day execution of your order fulfilment process. Depending on whether you fulfil in-house or via a 3PL, this looks quite different:
In-House Fulfilment Coordinator
- Overseeing pick, pack, and ship operations for all orders
- Managing inbound receiving and put-away
- Maintaining inventory accuracy through cycle counts
- Managing packing supplies and carrier account setup
- Flagging and resolving order exceptions (damage, mis-picks, address failures)
- Reporting daily on fulfilment metrics: orders shipped, on-time rate, accuracy rate
3PL Fulfilment Coordinator
- Managing the day-to-day relationship with the 3PL — submitting special handling instructions, investigating exceptions, tracking SLA compliance
- Monitoring inventory levels across 3PL locations and initiating transfers or purchase orders as needed
- Auditing 3PL invoices against expected fee schedules
- Coordinating inbound shipments to the 3PL with advance shipping notices and receiving appointments
- Managing returns processing instructions with the 3PL

Job Title
E-commerce Fulfillment Coordinator
About the Role
We’re looking for a detail-oriented Fulfillment Coordinator to own the execution of our day-to-day order fulfilment operations. You’ll be responsible for ensuring every order ships accurately and on time, managing our [in-house / 3PL] fulfilment process, and maintaining inventory accuracy across our fulfilment network. You’ll report to the [Operations Manager / COO / Founder] and work closely with our customer service and purchasing teams.
Responsibilities
- Own the daily fulfilment queue: ensure all orders are picked, packed, and shipped within our SLA commitments
- Monitor fulfilment exceptions (unshipped orders, address failures, inventory shortages) and resolve proactively
- Coordinate inbound inventory receiving against purchase orders; flag discrepancies to the purchasing team
- Maintain inventory accuracy through regular cycle counts; investigate and resolve variances
- Manage the relationship with our 3PL [or: manage packing supply inventory and carrier accounts]
- Process returns: inspect returned goods, update inventory, and provide accurate data for customer service refund decisions
- Report weekly on key fulfilment KPIs: on-time ship rate, order accuracy rate, inventory accuracy
- Identify and flag any recurring fulfilment issues that require process changes
Required Qualifications
- 1–3 years of experience in e-commerce fulfilment, logistics, or warehouse operations
- Experience with Shopify or a similar e-commerce platform at the order management level
- Strong attention to detail — this role involves a lot of count verification and exception management
- Organised and process-oriented; able to follow SOPs precisely and flag when processes aren’t working
- Comfortable with spreadsheets for tracking and reporting
Nice to Have
- Experience working with a 3PL or managing a 3PL relationship
- Experience with ShipStation, EasyPost, or similar shipping software
- Experience with an inventory management system (Cin7, Brightpearl, Linnworks, Zoho Inventory)
- Experience with barcode scanning and WMS software
KPIs for This Role
- On-time ship rate ≥ 98% (orders shipped within SLA)
- Order accuracy rate ≥ 99.5%
- Inventory accuracy ≥ 99% (locations counted correctly)
- Return processing time ≤ 3 business days from receipt
Compensation Benchmarks
- Entry-level / part-time (in-house): $18–$22/hour depending on geography
- Full-time coordinator (in-house, 1–2 years experience): $45,000–$60,000 annual
- 3PL coordinator with systems experience: $55,000–$75,000 annual
- Remote 3PL coordinator: can vary widely; international hiring (Philippines, Latin America) is common for brands seeking cost efficiency in this role
Interview Assessment Tips
- Ask candidates to walk through how they would handle a scenario where 50 orders are unshipped at end of day and the 3PL isn’t responding — this tests both problem-solving and knowledge of escalation paths
- Ask them to explain how they would do a cycle count and what they’d do if they found a 10-unit discrepancy — this tests their understanding of inventory management process
- Give them access to a sample Shopify order queue for 15 minutes and ask them what they notice — this is a practical test of attention to detail and system familiarity
Frequently Asked Questions
What is the difference between a fulfillment coordinator and an operations manager?
A fulfillment coordinator focuses on day-to-day execution: shipping orders, receiving inventory, managing exceptions. An operations manager is more strategic: building processes, managing vendors, and driving systemic improvements. In smaller brands, the same person may do both.
Should an e-commerce fulfillment coordinator be in-person or remote?
In-house fulfillment coordinators must be on-site. 3PL fulfillment coordinators can often work remotely, as their work is primarily system-based and communication-based. Many brands hire remote 3PL coordinators internationally to reduce labour cost.
What tools should an e-commerce fulfillment coordinator know?
Core tools include Shopify (order management), a shipping platform (ShipStation, EasyPost), an inventory management system (Cin7, Zoho Inventory, Linnworks), and standard productivity tools. Barcode scanning hardware experience is valuable for in-house coordinators.
How do I measure fulfillment coordinator performance?
Key metrics: on-time ship rate, order accuracy rate, inventory accuracy, and return processing time. Track these weekly and share them with the coordinator — transparency about performance metrics consistently improves results.
